This summary describes SHYFT Rentals LLC’s rental requirements. Before release, both parties must sign the completed rental agreement, including the specific dates, charges, mileage period and return terms. A booking reference or payment does not replace that agreement. Vehicle-specific prices, dates, taxes, approved drivers and any agreed exceptions are stated in your completed rental agreement.
1. Eligibility and authorized drivers
Every driver must be at least 25, present a valid driver license for verification, and be listed as an authorized driver in the signed agreement. Complete identity, driving eligibility and insurance verification before vehicle release.
2. Rental period and extensions
The minimum rental period is 30 days. Your completed agreement states the actual start and return times, rental commitment and payment schedule. The standard 30-day agreement requires a new agreement signed by both parties before each additional term; payment or continued possession does not automatically renew it. A separately signed longer fixed-term lease may require paperwork for each 30-day period within one continuous commitment. That paperwork does not create extra rent or deposits, an automatic renewal, or a right to end the commitment every month. The signed agreement controls the term; a billing interval alone does not determine tax treatment.
3. Prices, payment and taxes
Advertised rent excludes applicable taxes and agreed extras. The completed agreement must state the rent, payment schedule, taxes and rate, and approved extras before signing. Bank account payment is preferred; credit cards are accepted. Cash and debit cards are not accepted. Any disclosed credit-card surcharge is limited to 3% and reduced to the applicable processing cost or lower legal, network or processor limit. Bank account payments have no card surcharge.
4. Refundable security deposit
The standard refundable security deposit is $200, separate from rent and rental installments. The agreement records whether it was collected or carried forward, and the accounting/refund deadline. SHYFT provides an itemized accounting, credits deposits and other recoveries once, and returns the unused balance. The deposit is not a limit on responsibility for supported amounts properly owed.
5. Mileage, tolls, fuel and cleaning
The standard allowance is 2,000 miles per 30-day period, recorded in the completed agreement. Excess mileage is $0.25 per mile. Renter pays actual tolls and traffic or parking charges attributable to the rental, excluding penalties caused by SHYFT’s delay. SHYFT provides supporting toll details and adds no toll administration fee. When provided in the signed agreement, tolls may be invoiced every 30 days, at final return, or afterward for later-posted charges. No smoking or vaping. Return the vehicle, keys and equipment at the agreed time and location with the recorded pickup fuel level. Fuel shortages and extraordinary cleaning require reasonable documented costs; ordinary cleaning and wear are included. There are no automatic flat refueling or cleaning penalties.
6. Cancellation, early return and late return
The completed agreement must state the cancellation and early-return terms, late-return rate and grace period, and any agreed fees. Review those terms before signing. Early return does not by itself cancel the remaining commitment. Under the standard agreement, SHYFT makes commercially reasonable efforts to re-rent the vehicle, provides an itemized calculation, and credits replacement rent or market rental value, expenses saved and payments received without collecting twice. Early-termination damages are capped at $599; accrued unpaid rent and separate supported charges remain payable. Rights to terminate under the agreement or applicable law remain intact. Contact SHYFT promptly to request a change; extensions require written agreement and vehicle availability.
7. Insurance and responsibility
SHYFT verifies that the vehicle is scheduled under its rental insurance program before release. This does not promise insured status or personal liability protection for the renter. Required renter liability and vehicle-damage coverage must apply to the vehicle, every authorized driver and the full rental period. Do not assume personal auto insurance or a credit-card benefit covers the rental. The agreement does not sell optional insurance or a collision damage waiver.
8. Permitted use and territory
Only authorized drivers may operate the vehicle within the agreed territory. Rideshare, passenger-for-hire and delivery use are prohibited. Travel must stay within the approved area in your signed agreement. Canada requires written approval in that agreement or separately, compatible insurance and any required cross-border documents; confirm requirements with SHYFT before crossing. Travel to Mexico is prohibited. Racing, unlawful use, impaired driving, unauthorized transfers and misuse are prohibited.
9. Maintenance, breakdowns and accidents
SHYFT is responsible for ordinary maintenance and wear. Stop driving when safety requires it and report mechanical concerns promptly. For non-renter-caused mechanical downtime without a replacement, unused prepaid rent is credited as provided in the agreement. Protect people first, contact emergency services as needed, and notify SHYFT as soon as practicable after an accident, theft or damage. Preserve evidence and make legally required reports.
10. Condition, damage and final accounting
Record pickup and return condition with dated photographs, odometer and fuel readings. Subject to applicable law, insurance, recoveries and any signed limitation, the agreement makes the renter responsible for loss, theft or damage during possession or control, including some losses not caused by the renter’s fault. Claims require condition records and reasonable repair or valuation evidence. Preexisting damage, ordinary wear and mechanical failure not caused by misuse and loss attributable to SHYFT’s negligence, breach or unlawful conduct are excluded from renter responsibility. Insurance, salvage, deposits and third-party recoveries must be credited without duplicate collection. A condition signature does not accept unlisted charges or waive dispute rights.
11. Separate payment authorization
Signing the rental agreement or a condition report does not by itself authorize later automatic charges. Optional authorization for later credit-card charges must be separately completed and signed; otherwise amounts properly owed are invoiced. Recurring bank payments require their own valid authorization and a copy for the renter. Itemized amounts, reasons and supporting detail must be provided before authorized later charges.
12. Disputes and signed copies
Washington law applies subject to controlling federal law and nonwaivable protections. Review the full dispute provisions in the signed agreement. Its arbitration provision includes a 30-day opt-out and preserves the exceptions and consumer rights stated there. A valid opt-out carries forward to later agreements as provided in that clause. Eligible individual small-claims cases and the exclusions stated in the agreement remain available. Washington law and the agreement’s venue provisions apply subject to mandatory protections. The website summary does not independently create an arbitration agreement or amend an existing signed rental. Changes to a signed agreement require mutual written agreement.
